These Terms and Conditions apply to safari packages, gorilla trekking trips, hiking tours, wildlife safaris, cultural experiences, day trips, custom itineraries, and related travel services arranged by Tvent Rwenzori Safaris.
By confirming a booking with us, the traveler agrees to these terms together with any written quotation, invoice, itinerary, permit conditions, and supplier rules provided before travel.
1. Booking Confirmation
A booking is confirmed only after Tvent Rwenzori Safaris has issued written confirmation and the required deposit or full payment has been received. Until confirmation is issued, prices, accommodation, permits, flights, activities, and vehicle availability may change.
2. Prices, Deposits, and Final Payment
- Prices are based on the services listed in the confirmed itinerary or invoice.
- Deposits may be required to secure accommodation, transport, park activities, gorilla permits, chimpanzee permits, domestic flights, or other supplier bookings.
- The final payment due date will be stated on the invoice or confirmed by our reservations team.
- If payment is not received by the due date, Tvent Rwenzori Safaris may treat the booking as cancelled and cancellation fees may apply.
- Bank charges, card charges, transfer fees, and currency conversion differences are the responsibility of the traveler unless otherwise agreed in writing.
3. Permits, Flights, and Non-refundable Services
Gorilla permits, chimpanzee permits, some wildlife activities, special accommodation deposits, and airline tickets may be non-refundable or may have strict amendment deadlines. Once these services are booked or issued, the traveler is responsible for any supplier fees, amendment penalties, or cancellation charges.
4. Traveler Responsibilities
- Travelers must provide accurate names, passport details, travel dates, rooming preferences, medical information, and any other details required to arrange the trip.
- Travelers are responsible for valid passports, visas, vaccination documents, travel permits, entry requirements, and any documents required by Uganda, Rwanda, Kenya, Tanzania, airlines, or other relevant authorities.
- Travelers must arrive on time for transfers, flights, park activities, briefings, treks, boat trips, and other scheduled services.
- Travelers must follow the guidance of driver-guides, park rangers, lodge staff, activity leaders, and local authorities.
5. Travel Insurance
Comprehensive travel insurance is strongly recommended for every traveler. Insurance should cover medical expenses, emergency evacuation, trip cancellation, trip interruption, lost luggage, personal accident, delayed travel, and activities included in the itinerary such as trekking, hiking, boat safaris, and wildlife viewing.
6. Itinerary Changes
Tvent Rwenzori Safaris works to operate trips as confirmed. However, itineraries may be adjusted because of weather, road conditions, park authority decisions, permit availability, lodge changes, flight schedule changes, safety concerns, border or immigration requirements, or circumstances beyond our control.
Where changes are necessary, we will make reasonable efforts to provide suitable alternatives of similar value and experience.
7. Accommodation, Transport, and Activities
Accommodation, vehicles, guides, activities, and routes are arranged according to the confirmed itinerary and availability at the time of booking. Where a named lodge, hotel, vehicle type, guide, or activity becomes unavailable, Tvent Rwenzori Safaris may arrange a reasonable alternative.
8. Cancellations and Refunds
Cancellations and refunds are handled according to the Tvent Rwenzori Safaris Cancellations and Refunds policy. Cancellation fees depend on how close the cancellation is to the departure date and whether the booking includes non-refundable services such as gorilla permits or airline tickets.
9. Health, Safety, and Conduct
Travelers must disclose any health, mobility, dietary, or medical information that may affect their ability to participate safely. Tvent Rwenzori Safaris may refuse or discontinue participation where a traveler endangers themselves, other travelers, staff, wildlife, communities, or property.
10. Wildlife, Park, and Community Rules
Travelers must respect wildlife viewing rules, park regulations, gorilla and chimpanzee trekking rules, photography restrictions, cultural site rules, and community guidelines. Tvent Rwenzori Safaris is not responsible for missed activities or penalties caused by a traveler refusing to follow official rules.
11. Liability and Third-party Suppliers
Tvent Rwenzori Safaris arranges services with lodges, hotels, airlines, park authorities, transport providers, activity providers, restaurants, and community partners. We take care in selecting suppliers, but some services are controlled by independent third parties. Tvent Rwenzori Safaris is not liable for losses caused by supplier acts or omissions, government actions, weather, road conditions, illness, strikes, border delays, force majeure events, or circumstances beyond our reasonable control.
12. Complaints During Travel
If a problem arises during travel, the traveler should inform the driver-guide or Tvent Rwenzori Safaris as soon as possible so that we can try to resolve the matter while the trip is still in progress. Complaints raised only after the trip may be harder to investigate or resolve.
13. Website Information
Information on the website is provided to help travelers plan their trip. Park fees, permit costs, accommodation standards, routes, travel times, activity rules, and supplier conditions may change. The confirmed itinerary and invoice take priority over general website information.
14. Governing Law
These terms are intended to be interpreted under the laws applicable in Uganda, unless a mandatory consumer protection law requires otherwise.
